Auto reconciliation rule

We started using the Auto Prepare and Auto approve reconciliation rule.  We now feel some things are getting overlooked and going forward want to change it to only auto prepare.  But when I try and change it I get this error message.  “The following AutoRec Rules have already been used to Prepare/Approve reconciliations and cannot be modified or deleted: (Zero Balance - Zero Activity)”  How can I change this?

Hi,

That's expected behavior — per OneStream's AutoRec documentation, once a rule has been used to Prepare or Approve a reconciliation, it locks permanently to protect the audit trail. You can't edit it.

Fix: don't edit it, replace it

1. Create a new AutoRec rule with the same criteria (Zero Balance + Activity), but check Prepare Only.
2. Go to Reconciliation Inventory, filter by AutoRec Rule = "Zero Balance - Zero Activity".
3. Select those reconciliations, use Edit (bulk edit works), and reassign them to the new rule.
4. Leave the old rule alone — it stays locked but just won't apply to anything new once reassigned.

Note: this only affects future activity. Anything already Fully Approved under the old rule stays as-is.

Test on a few reconciliations first before doing the full batch.
